Do not arrive at 3:55 p.m. with a filing. The court remains open until 4:00 p.m., but current court rules require in-person filings and marriage-license applications to be submitted by 3:45 p.m.

Use the exact last name or case number. For an estate, try the decedent’s name or exact case number first.
Open DETAIL before assuming a match
Similar names can produce multiple records. Compare case type, status, parties, filing year and docket activity.
Check available docket images
When a PDF link is available beside a docket entry, use it to review the image of that particular filing or order.
Save the exact document description
Record the case name, case number, docket date and document title before requesting official copies.
Ask what proof is actually required
A printed docket image may not satisfy a bank, title company, agency or another court that requires a certified or exemplified copy.

Hamilton County’s Archive Search provides online access to handwritten and typed records that were previously maintained in bound volumes. Record dates vary by category, and the earliest available materials date from 1791.

Full Administration vs Relief vs Summary Release
Hamilton County’s estate materials explain three different administration paths. The correct choice depends on probate-asset value, surviving-spouse rights, funeral obligations, the will and other estate facts.

- The original will is needed if one exists.
Do not choose an estate procedure solely from the dollar amount. Use the current Hamilton County packet and consult a magistrate or qualified Ohio probate attorney when eligibility is unclear.
When the Decedent Left a Will
Hamilton County’s estate-administration pamphlet says the original will must be presented to the Probate Court with an application to admit the will to probate when full administration is opened with a will.

Hamilton County Probate Court operates a dedicated eFile system. Use it for eligible filings after confirming that your document and case type are accepted for electronic filing.

Estate claim route
A separate claim-submission path is available for filing a claim on an existing probate estate.
Electronic filing is not the same as record search. If you only need to identify a case or view a docket image, use Court Records instead of creating an eFile account.

Hamilton County’s public eFile claim page allows a claimant to provide personal information, the estate case number and caption, documentation supporting the claim and online payment information.

Avoid Hamilton County Probate Filing Problems
Use court-approved forms
The court may reject forms that deviate from the Probate Forms it provides.
Typed or clearly written
Attorney filings must be typed. Self-represented applicants are encouraged to type filings, and illegible filings may be rejected or stricken.

All in-person filings must be completed and submitted by 3:45 p.m.
Court files stay at court
Local Rule 55.1 states that no Probate Court file shall be removed from the court.
Some information is protected
Records are public unless exempt by law or court order, and restricted-access requests follow special motion procedures.
Identify the filing clearly
Motions, entries and other filings should be correctly captioned and sufficiently specific for court review.
Common Hamilton County Probate Court Deposits
Hamilton County says its deposit schedule is based on the average cost to complete each type of case and that additional funds may be required.
A deposit is not necessarily the final cost. Additional filings, pages, service, certification or case activity can increase the total.

Certified, Exemplified and Photocopy Requests
Hamilton County’s online document-request system lets users request certified copies, exemplified copies, photocopies and marriage-license records. Ask the receiving organization what level of certification it requires before ordering.

Both applicants generally must appear in person, subject to limited statutory exceptions.
60-day validity
Once issued, the marriage license is valid for 60 calendar days.
No waiting period
There is no blood test or waiting period after the license is issued.
